Overview

Purpose: Perform clerical and administrative functions to assist the Legal Department, including support to General Counsel and Transactions Manager.

Responsibilities

Responsibilities include (but are not limited to):

  • Assist in preparing and processing licenses (including but not limited to annual business licenses, music and motion picture licenses, broker licenses), permits, housing applications.
  • Distribute and process department incoming and outgoing mail, update tracking and filing systems. Coordinate electronic delivery of documents to regional office(s) and properties as needed.
  • Assist in addressing code compliance violations and curing any outstanding liens or
  • Process department invoices for payment including processing settlement check requests and distribution.
  • Assist in EIN, entity management, maintenance, and assumed name formation, including coordination through our Statutory and Registered Agent, CT Corp.,
  • Review and prepare property level service contracts for execution and distribution
  • Assists in due diligence, acquisitions and dispositions tasks, as needed
  • Cross train on tasks with Transactions Assistant
  • Performs general clerical functions such as typing, editing, proofing, filing, making copies and scanning
  • Update legal forms as directed by the General Counsel
  • Effectively coordinate tasks with multiple corporate departments
  • Establishes, maintains and updates electronic filing system – individually and departmentally
  • Assist in creation and ongoing maintenance/organization of folders within the Litigation / Subpoena / Bankruptcy folders

Qualifications

Qualifications:  

  • High school diploma. University degree or some college preferred
  • 3 to 5 years professional administrative experience
  • Excellent detail orientation with strong organizational, multi-tasking and time management skills
  • Intermediate knowledge of MS Office – Outlook, Word, Excel, Power Point, and Adobe Acrobat
  • Experience in YARDI software, a plus
  • Excellent verbal, written and proofing skills
  • Demonstrated initiative and flexibility; ability to work occasional overtime.Proven ability to work collaboratively with a team
